PRIVACY POLICY

Your story stays yours.

This page explains, in plain language, what we collect when you visit this site or send us your story, how we use it, who sees it, and how to ask us to change or delete it.

Who we are

Open Letter Studio LLC ("Open Letter Studio", "we", "us") is a small studio that helps hopeful adoptive families tell their story. We are a marketing partner, not an adoption agency or legal service. You can reach us any time at hello@openletterstudio.com.

What we collect

When you send us the Start Your Story form, we receive what you type: your name or names, your email address, your phone number if you add it, where you are in your adoption journey, what kind of help you are looking for, and whatever you choose to tell us about your family.

When you email us, we keep the email and whatever you include in it.

When we work together, you share more: answers to our questionnaire about your family, and the photos, video and other material we use to build your story. Anything about your children comes from you, as their parent, and is used only for your family's story.

Automatically, when you visit: our hosting provider processes your IP address and browser details to deliver the pages and protect the site from attacks. The form uses a bot check from the same provider to tell people from bots. To stop spam, our form keeps a scrambled code derived from your IP address for up to two days; the code cannot be turned back into your address, and the address itself is never stored.

Advertising measurement: every page loads a measurement tag from the search advertising platform we use, so we can tell whether a visit that came from one of our ads led to a form being sent. It tells that platform that a page was viewed and that a form was sent. It never sends anything you typed. The platform may set cookies for this; you can manage them in its ad settings or block cookies in your browser. The site's fonts are loaded from a third-party font service, which sees your IP address when the fonts load.

We do not use analytics tools beyond this, and we do not build advertising audiences from the people who visit this site or send us the form.

How we use it

  • To reply to you and set up a conversation, if you asked for one.
  • To do the work you hire us for: shaping your story, building your website and other materials, and sharing them where you have asked us to.
  • To send you a copy of your form submission and, later, emails about your project.
  • To keep the site working and free of spam.
  • To understand which of our ads lead people to get in touch.

We do not sell your information. We do not share it with advertisers, data brokers, adoption agencies or anyone else for their own use.

Who sees it

The people behind Open Letter Studio, who read every message personally. Beyond us, only the service providers we rely on to run the studio handle your information, and only to do their job for us:

  • The hosting provider that serves the site, stores form submissions and questionnaire answers in our database, and runs the bot check.
  • The email service that delivers our email, including the copy of your form we send you.
  • The advertising and font services described above.

We would disclose information if the law required it, and we would tell you if we were allowed to.

Your story in public

Nothing you send through the form or the questionnaire is published. When you become a client, the website, profile and outreach we build are public by design, but only the words, photos and video you have approved go out, and you can tell us anything you want kept off the page.

How long we keep it

We keep form submissions, emails and project material for as long as we might work together and for our own records afterwards. The anti-spam codes mentioned above are deleted within two days. If you would like your information removed sooner, ask us and we will delete it, apart from anything we are required to keep.

Your choices

Email hello@openletterstudio.com to see what we hold about you, correct it, or have it deleted, and we will confirm when it is done. If you live somewhere with privacy laws that give you specific rights, we will honor them. You can block cookies in your browser at any time; the site works without them.

Children

Our services are for adults. We do not knowingly collect information directly from anyone under 18. Information about your children reaches us only from you, as part of your family's story.

Keeping it safe

The site is served over an encrypted connection. Form submissions are stored before any email is sent, so a message is never lost in transit. The tools we use to read them sit behind a login that only we have.

Changes

If this policy changes, we will update this page and the date at the top. Questions? Write to hello@openletterstudio.com.
